These Terms & Conditions govern the use of our website, products, and travel services. By accessing our website, requesting a quotation, making a booking, or purchasing any travel-related service from Kaitech Travel, you acknowledge that you have read, understood, and agreed to be bound by these Terms & Conditions.
If you do not agree with these Terms & Conditions, you should not use our services.
Kaitech Travel is a travel company registered in Kenya and provides comprehensive travel management services for leisure, corporate, group, and incentive travel.

We reserve the right to decline any booking at our discretion.
It is the client's responsibility to ensure that all information supplied is accurate. This includes full legal names, dates of birth, passport details, nationality, contact information, and special requirements.
Kaitech Travel shall not be liable for losses arising from incorrect information provided by the traveler.
Unless otherwise stated, all quotations are subject to availability and prices may change before booking confirmation. Airline taxes, fuel surcharges, exchange rates, and supplier charges may vary, and promotional prices may be withdrawn without notice.
Once a booking has been confirmed and fully paid, the agreed price will generally remain unchanged unless changes arise from government taxes, supplier-imposed charges, currency fluctuations, or circumstances beyond our reasonable control.
Key Deposit & Payment Requirement: A 30% non-refundable deposit is required upon booking. Full balance must be settled 45 days prior to departure.
To confirm any booking, a 30% non-refundable deposit is required. The remaining balance must be paid no later than forty-five (45) days before departure, unless otherwise stated in writing. Certain airlines, hotels, cruises, special events, or promotional fares may require full payment at the time of booking.
Failure to settle the outstanding balance by the applicable due date may result in cancellation of the booking without refund of the deposit or any applicable supplier charges. Kaitech Travel reserves the right to recover any unpaid amounts due under the booking.
Payments may be accepted through approved methods including bank transfer, credit or debit card, mobile payment services where available, and other approved payment channels.
Clients are responsible for any bank charges, foreign exchange costs, or payment processing fees unless otherwise agreed.
Prices may be quoted in Kenyan Shillings (KES), United States Dollars (USD), or another specified currency. Where payments are made in a different currency, exchange rates applicable on the processing date may apply.
Any request to amend a confirmed booking is subject to supplier approval, availability, and applicable amendment fees. Changes may include travel dates, names, destinations, accommodation, flights, and passenger details.
Certain bookings cannot be amended once confirmed.
Cancellation requests must be submitted in writing. Cancellation charges depend on airline rules, hotel policies, tour operator conditions, visa costs, and supplier penalties.
The initial 30% deposit is non-refundable. Where suppliers impose cancellation penalties exceeding the deposit, the traveler remains responsible for those additional costs. Certain promotional fares, charter flights, cruise bookings, visas, and event tickets may be entirely non-refundable.
Kaitech Travel reserves the right to cancel a booking where payment deadlines are not met, fraud is suspected, supplier services become unavailable, or force majeure prevents travel.
Where cancellation results from circumstances within our reasonable control, we will work with you to provide a suitable alternative or refund amounts recoverable from suppliers, subject to applicable supplier terms.
Kaitech Travel acts as an intermediary between clients and third-party travel providers, including airlines, hotels, transport companies, cruise operators, destination management companies, insurance providers, and tour operators. Each supplier operates under its own terms and conditions.
Kaitech Travel is not responsible for supplier insolvency, operational failures, overbooking, service interruptions, schedule changes, labor disputes, or actions or omissions of third-party suppliers.
Air tickets are governed by the issuing airline's fare rules. These rules may restrict cancellations, refunds, date changes, rerouting, baggage allowances, and name corrections. Unused flight segments may result in the cancellation of subsequent flights by the airline.
Hotel classifications are determined by local authorities or suppliers. Images shown in promotional materials are illustrative only. Room allocation remains the responsibility of the accommodation provider. Early check-in and late check-out are subject to hotel availability unless specifically confirmed.
Excursions may be altered due to weather, road conditions, government regulations, safety considerations, or operational requirements. Equivalent alternatives may be provided where reasonably possible.
Passport Validity Rule: Passports must generally be valid for at least 6 months past your scheduled return date with blank visa pages.
Every traveler must possess a valid passport, any required visas, and health documentation required by destination countries. Many destinations require passports to remain valid for at least six months beyond the return date. Failure to comply may result in denied boarding or entry.
Where Kaitech Travel assists with visa applications, such assistance is administrative only. Visa issuance remains solely at the discretion of the relevant embassy, consulate, or immigration authority. Visa fees are generally non-refundable, regardless of the outcome of the application. Kaitech Travel does not guarantee visa approval or processing times.
We strongly recommend that every traveler obtain comprehensive travel insurance covering, where appropriate, medical emergencies, trip cancellation, trip interruption, baggage loss, travel delays, personal liability, and emergency evacuation. Failure to obtain suitable insurance is at the traveler's own risk.
Travelers are responsible for ensuring they satisfy all health requirements applicable to their destination, including vaccinations, medical certificates, and prescribed medications. Any medical condition that may affect travel should be disclosed before booking where relevant to the services requested.
Dietary preferences, accessible accommodation, adjoining rooms, or other special requests will be communicated to suppliers but cannot be guaranteed unless expressly confirmed in writing.
Kaitech Travel shall not be liable for delays, cancellations, losses, or additional expenses arising from events beyond our reasonable control, including but not limited to natural disasters, pandemics, epidemics, war, terrorism, civil unrest, strikes, government actions, border closures, severe weather, airport closures, or transport disruptions. Any refunds or credits will be subject to the policies of the relevant suppliers.
To the fullest extent permitted by applicable law, Kaitech Travel shall not be liable for indirect, incidental, consequential, or special damages arising from travel services provided by third parties. Our liability, where established, shall generally not exceed the amount paid directly to Kaitech Travel for the specific booking giving raise to the claim, except where applicable law provides otherwise. Nothing in these Terms excludes liability that cannot lawfully be excluded.
Travelers agree to comply with local laws, behave respectfully, follow airline and supplier regulations, carry appropriate identification, arrive on time for departures, and safeguard personal belongings. Clients may be removed from a tour or service without refund if their conduct endangers others or materially disrupts the travel experience.
Travel documents should be reviewed immediately upon receipt. Any discrepancies should be reported without delay. Failure to notify us promptly may limit the ability to make corrections.
Baggage allowances vary by airline and ticket type. Kaitech Travel is not responsible for lost baggage, delayed baggage, damaged baggage, or excess baggage charges. Claims relating to baggage should be submitted directly to the airline or relevant carrier.
Refund eligibility depends upon the policies of the relevant suppliers. Processing times vary and may take several weeks or longer depending on the airline, hotel, cruise line, or other provider. Refunds will be made only after Kaitech Travel receives the corresponding funds from the supplier, where applicable. Administrative fees may apply where permitted by law.
All website content, branding, logos, graphics, brochures, itineraries, photographs, and written materials remain the property of Kaitech Travel or its licensors. No content may be reproduced or distributed without prior written permission.
Users agree not to misuse the website, upload malicious software, interfere with website functionality, infringe intellectual property rights, or engage in fraudulent activity. We reserve the right to suspend or restrict access where misuse is identified.
The collection and processing of personal information is governed by the Kaitech Travel Privacy Policy. By using our services, you acknowledge that certain personal information may need to be shared with travel suppliers and relevant authorities to facilitate your booking.
If you experience any issue during your travel, you should notify the relevant supplier promptly so they have an opportunity to address it. Any complaint to Kaitech Travel should be submitted in writing within thirty (30) days of completion of your travel, together with supporting documentation where available. We will review complaints in good faith and respond within a reasonable timeframe.
These Terms & Conditions are governed by the laws of the Republic of Kenya. Any dispute arising out of or relating to these Terms shall be subject to the jurisdiction of the competent courts of Kenya, unless the parties agree to an alternative dispute resolution process.
Kaitech Travel reserves the right to amend these Terms & Conditions from time to time. The most current version will be published on our website and will apply to new bookings from the effective date stated.
